Business Challenge

Employees were required to follow a detailed travel authorization process before making travel purchases, but the workflow involved multiple approvals, university policies, budgeting requirements, and system-specific procedures. Incorrect or incomplete requests delayed approvals and increased the risk of policy violations and reimbursement issues.

Learning Solution

I designed a comprehensive simulation-based e-learning course that walks learners through the complete travel lifecycle—from creating a travel request and estimating expenses to submitting approvals and booking airfare, hotels, and rental cars within SAP Concur. The course combines software demonstrations with policy guidance to help employees understand both how to complete each task and why each step is required.

Impact

This training standardized the travel request process across the university by helping employees complete requests accurately before making travel purchases. By explaining both system navigation and institutional policies, the course reduced confusion surrounding approvals, chart fields, travel budgets, and required documentation.

The simulation-based format allowed learners to practice realistic workflows before using the production system, improving confidence while reducing support requests to the travel office. The course also promoted policy compliance by reinforcing approval requirements and proper expense planning prior to booking travel.
