Business Challenge

New employees needed a clear understanding of payroll schedules, direct deposit options, absence reporting requirements, leave policies, and employee responsibilities. Payroll procedures involve multiple systems, deadlines, and compliance requirements that, if misunderstood, can result in delayed payments, inaccurate leave balances, or administrative corrections. The training needed to simplify these processes while reducing routine support requests to the Payroll department.

Learning Solution

I designed a self-paced onboarding module that walks new employees through the payroll lifecycle, from understanding the Green and Gold Calendar to receiving pay, enrolling in direct deposit, reporting absences, documenting jury duty, and updating personal information. The course combines policy guidance with practical demonstrations that help learners complete common payroll tasks accurately and confidently.

Project Highlights

  • Simplified complex payroll and leave administration procedures into a learner-friendly workflow.
  • Explained payroll schedules, pay warrant processing, and direct deposit enrollment.
  • Demonstrated Absence Management Self Service for reporting leave.
  • Integrated university resources and reference materials throughout the course.
  • Reinforced compliance requirements related to leave reporting and jury duty.
  • Reduced reliance on payroll staff for common onboarding questions.
  • Designed as part of a comprehensive New Employee Orientation curriculum.

Impact

he course provided new employees with a consistent introduction to payroll operations and leave reporting, improving confidence during the onboarding process while establishing clear expectations for employee responsibilities. By presenting essential payroll information in a structured, self-paced format, employees could access the information when needed instead of relying on individual assistance.

For the Payroll department, the training supported more consistent reporting practices and helped reduce routine questions regarding pay dates, direct deposit enrollment, absence reporting, jury duty procedures, and employee record updates. It also promoted accurate use of self-service tools, allowing payroll staff to focus on more complex employee support needs.
