Business Challenge

Employees receiving university travel cards needed to understand both the technical use of SAP Concur and the institutional travel policies governing business travel. Because travel requests, reservations, expense reporting, and compliance requirements intersect across multiple business processes, new users often required significant support before they could independently manage university travel. The organization needed a standardized training solution that reduced onboarding time while promoting policy compliance and proper use of university funds.

Learning Solution

I designed and developed an interactive software simulation that guides learners through the complete initial Concur setup process while introducing the university’s travel policies, available support resources, and profile configuration requirements. The course combines guided demonstrations, realistic practice activities, and policy awareness to prepare employees to confidently access the system, configure their profiles, register travel cards, and understand the responsibilities associated with university-funded travel.

Impact

This course established a consistent onboarding experience for every employee receiving a university travel card. By consolidating system navigation, profile setup, travel policies, and support resources into a single learning experience, it reduced the need for one-on-one assistance from the Travel Office and helped users become productive more quickly.

The simulation-based approach allowed learners to practice essential configuration tasks before accessing the live system, increasing confidence and reducing setup errors. By emphasizing compliance alongside technical procedures, the training also promoted more accurate travel requests, proper use of university funds, and improved adherence to CSU travel policies.
