Business Challenge

Managers and timekeepers needed to complete monthly approval of employee worked time and reported absences in PeopleSoft. Because these approvals occur in different modules and involve different permissions, the process often caused confusion and approval delays.

The training needed to clearly distinguish between the responsibilities of Time Keepers and designated administrators while demonstrating each workflow step-by-step.

Learning Solution

designed and produced a software training video that guided users through the complete approval process in PeopleSoft.

The video covered:

  • Reviewing and approving reported work time.
  • Navigating between Time Management functions.
  • Identifying records requiring approval.
  • Completing approvals and confirming status changes.
  • Explaining why absence approvals require a separate workflow.
  • Demonstrating the absence approval process for designated managers and administrators.

The instruction was organized into two clearly defined sections, allowing learners to focus on the task appropriate to their role while reducing confusion between the two approval processes.

Impact

The finished video provided a consistent reference that employees could revisit whenever they needed to complete monthly approvals. By presenting the process visually and in the order users encountered it in the system, the training helped reduce uncertainty, reinforced correct procedures, and supported more accurate and timely approval of payroll-related transactions.
